There can be roughly 100+ Accredited Service Providers in the UAE by the time the e-invoicing market fully matures. As of today, the first wave of about 50 is being approved.
You don’t need to evaluate all 150. But you do need a framework that prevents the most expensive mistake we keep seeing: companies pick an ASP based on a 30-minute sales call, a slick demo, and the lowest sticker price, and 18 months later, they’re re-tendering.
Switching ASPs is a nightmare. It means rewriting integrations, re-mapping data, and risking audit gaps. Switching later costs 3x more than choosing right the first time. Use these 12 questions to vet your shortlist. If a provider gives you vague answers, cross them off your list.
Compliance and accreditation
Q1. Are you on the FTA’s published list of Accredited Service Providers? Show me the entry.
Sounds basic. It isn’t. Several vendors will pitch you as “ASPs” before the FTA list is published, or claim “we’re in the final stages of accreditation”. Both may be true. But a non-accredited provider cannot legally transmit invoices to the FTA. Period. Ask for the public-list URL. If they hesitate, walk.
Q2. Which Peppol specifications and PINT AE versions are you certified against, and how quickly do you upgrade when versions change?
The PINT AE spec will evolve. The FTA will publish revisions. Some ASPs treat spec upgrades as a yearly chore; others treat them as a 48-hour SLA. Ask explicitly: “When PINT AE 2.0 ships, how many days until your platform is compliant?” Anything more than 7 working days is a flag.
Q3. Where is your data residency for UAE invoice data, and how is it segregated from other-region data?
UAE data residency rules will be enforced strictly for invoice data. You want a clear answer: which data center, which region, what segregation. “Cloud-based” is not an answer. Be specific.
Integration and your ERP
Q4. How do you integrate with my existing ERP? Specifically, what does the integration look like: connector, API, middleware, ERP plugin?
The honest answer reveals everything. Some ASPs have native connectors for SAP, Oracle, and Dynamics. Others rely on flat-file uploads. Others sell you a “middleware project” that turns into a six-month implementation. Ask to see the integration pattern for your exact ERP. Ask for references with the same ERP and similar size.
Q5. How do you handle multi-entity, multi-ERP environments? Walk me through your architecture for a group with [N] entities running [list of ERPs].
Most UAE mid-market and enterprise groups run multiple. Ask specifically how their platform handles entity-level routing, consolidated reporting to the FTA, and unique invoice numbering across entities. If they are vague, they haven’t solved it.
Q6. How do you handle credit notes, debit notes, cancellations, corrections, and RCM scenarios?
These are the operational edge cases that break weak ASPs. The day-one flow is easy. The 47th edge case, a partial credit note against a foreign-currency invoice with a designated zone customer, is where you find out who built the platform vs. who slapped a UI on top of someone else’s.
Operational reliability
Q7. What is your uptime SLA, and what are the consequences if you miss it?
99.9% sounds high. It allows 8.76 hours of downtime per year. 99.99% allows 52 minutes. The difference matters. More importantly, what happens if they miss the SLA? Service credit? Refund? Right to terminate? Read the contract, not the marketing.
Q8. What is your support model? Specifically, phone support hours in GST, escalation path, named technical account manager, average response time?
“24/7 support” can mean a ticketing system that responds in 48 hours. Ask: phone or chat? Local-language support? Named TAM? Average first-response time on a P1 ticket? Ask for the SLA in writing.
Q9. Show me your audit trail. If the FTA audits one of my invoices three years from now, what do I have?
This is the question that surfaces: who actually understands compliance? The ASP must give you, on demand, the original ERP-extracted payload, the converted PINT AE invoice, the digital signature, the transmission proof to the buyer’s ASP, the FTA acknowledgement, and any correction history. All of it. Available in seconds. For at least the statutory retention period (currently 5 years for VAT, longer for some sectors).
Commercial and strategic fit
Q10. How is your pricing structured, and what changes as we grow?
Per invoice? Per-entity? Per-user? Tiered by volume? Annual minimums? Setup fees? Be allergic to “let’s discuss pricing later”. Force a written, scenario-modelled quote: “Here’s our volume; show me Year 1, Year 2, Year 3 cost.” Cheap-now-expensive-later is the oldest move in B2B SaaS.
Q11. Who else have you onboarded in the UAE, and can I speak to two of them, one in my industry, one outside it?
In Wave 1 of UAE accreditation, every ASP is new. So, adjust the question: “Who have you onboarded in similar phased rollouts elsewhere, and can I speak to two of them?” If they have zero reference customers in any market, that’s data.
Q12. What’s your switching-out story? If we ever leave you, what do we walk away with, and how easy is that?
This is the question that scares the wrong ASPs. The right ASP will answer it cleanly: full data export, no proprietary formats, audit-trail handover protocol, transition support. The wrong ASP will get vague. Vagueness here is a warning.
